01 / Overview
Custom internal operations platform
A unified platform for internal operations
APSA Operations Dashboard is a custom internal management system built for APSA Co., Ltd.
Instead of relying on separate tools, projects, clients, people, vendors, quotations, documents, forms, and AI workflows are managed on one platform.
This gives teams clearer visibility into progress, reduces information loss, and standardizes the way work moves across the company.
02 / Challenge
Before the system was introduced, data lived in multiple places and many workflows depended on manual steps.
Tracking projects, managing documents, and coordinating across departments therefore consumed significant time.
The new platform needed to support many different business processes while remaining easy to use and secure.
03 / Goals
- Manage every project on one platform
- Standardize workflows across departments
- Centralize clients, partners, and people
- Integrate AI to support repetitive work
04 / Technical problems
Manage many different business domains within one system.
Apply detailed permissions for each role and department.
Process data, documents, forms, and realtime events together.
05 / Research
Roam Moon worked with APSA to analyze its real operating processes.
The complete journey—from client intake and quotation through project delivery and handover—was studied and standardized before software development began.
06 / Architecture
The system uses a service-oriented architecture to support maintenance and future growth.
- Next.js dashboard
- NestJS backend
- MongoDB operational database
- Cloudflare R2 image and document storage
- Realtime data updates
The reference architecture prioritizes:
- User authentication
- Role-based authorization
- Encrypted data in transit
- Centralized storage
- System monitoring and logging
The architecture keeps the platform safe, stable, and ready to expand.
Operational qualities:
- Secure

02 screens08 / Development
The platform includes business modules for:
- Project management
- Clients
- Vendors
- People
- Quotations
- Jobs
- Documents
- Form Builder
- Short Link
- Zalo Mini App
- AI Prompt Library
- AI Validation
- AI Image Generation
Each module connects to the same operational model while remaining independently maintainable.
09 / Optimization
- Fast search and filtering even across large datasets
- Modular boundaries make maintenance and expansion easier
- Separating operational data from files improves system performance
10 / Deployment
The platform was released in stages to avoid disrupting business operations. Every update was:
- Tested before release
- Observed after deployment
- Supported by a recovery plan
11 / Scaling
The architecture supports new capabilities without affecting modules already in operation.
- Easy to expand
- Strong load capacity
- Optimized operating costs
This allows APSA to continue developing the platform as future needs evolve.
12 / Monitoring
The system monitors:
- Operational performance
- Errors
- Important realtime events
This helps the team identify issues early and respond before users are affected.

14 / Lessons learned
Every business has its own way of working, so an effective management system should not force users to change how they operate. Instead, the software must be flexible enough to adapt to existing processes while still keeping data consistently managed.
The most important lesson from APSA Operations Dashboard was to prioritize an extensible foundation from the beginning. As business requirements evolve, the company can add new capabilities without having to replace or redesign the entire system.
